Invoicing and Billing Policy
In general, Cantor Access Incorporated issues invoices by email at the end of each month for services performed during that month, plus actual costs, plus applicable taxes.
Before the commencement of work, we notify clients of expenses that will be incurred during the performance of services, and provide an estimate of these costs. Actual costs include mileage, transportation, parking, photocopying, and couriers. Meals and overnight accommodation may be charged for out-of-town assignments. Except for mileage charges, we provide receipts to justify all costs.
For assignments that involve travelling under 30 minutes in each direction, we waive travel-related charges. For assignments that involve travelling longer than 30 minutes in each direction, we bill for actual travel time at 80% of our customary hourly fee.
Minimum and Maximum Billable Time
Our minimum time charge is 15 minutes. Our minimum time charge for consultations outside our office is three hours. Except for urgent assignments, our maximum time charge is eight hours per day, including travel time.
We do not charge for:
- Initial telephone or email consultations of under 30 minutes in duration.
- During an assignment, telephone consultations under ten minutes in duration.
- During an assignment, brief email correspondences.
Packages and Discounts
We offer regular customers a discounted package price that includes travel and actual costs.
We discount our customary hourly fee by 10% for assignments of more than 160 billable hours during a 30-day period.
We charge an hourly fee to develop scripts, macros, voice commands, and other software shortcuts ("scripts"). We also offer "existing scripts" to our clients, which are scripts that we have previously developed. We charge a flat fee per existing script of approximately 10% of its development cost (based on our customary hourly fee). We advise clients of the cost of existing scripts before providing them. Modifications to existing scripts are billed at our customary rate.
Terms and Late Fees
Payment is due within 30 days after invoicing. A late payment charge of 1.5% monthly is applied to unpaid accounts 30 days after the bill date.
Changes to this Policy
Cantor Access Inc. reserves the right to modify or update this policy at any time without prior notice.
